Why Microsoft 365 sometimes requires IT approval for calendar connections

How Microsoft manages third-party app access
Microsoft 365 Business and Enterprise accounts include administrative controls that govern how employees interact with external applications. One of those controls determines whether individuals can grant calendar access to third-party tools independently, or whether that requires approval from an IT administrator first.
This applies to any tool requesting access to a Microsoft 365 calendar — not to Whenn specifically. Whether it triggers depends on how the organisation's tenant has been configured. For organisations with user consent disabled — common in Business and Enterprise environments as a standard security baseline — an employee trying to connect their calendar to an external application will see a message indicating that admin approval is required.
Once an IT administrator approves an application, every employee in the organisation can connect without the process repeating individually.
Why this configuration exists
Organisations with sensitive data or regulated environments want to evaluate what applications their employees are connecting to before access is granted. The admin consent model shifts that evaluation to a single decision point — one review, one approval, no individual authorisations to manage at scale. It's a reasonable architecture.
What Whenn requests and why
Participants request Calendars.Read — read-only access to free/busy data. This is the minimum scope needed to determine whether a calendar slot is available. No event content, no attendee details, no meeting titles are accessed.
Hosts request Calendars.ReadWrite. The write access is used for one purpose: creating the confirmed calendar event at the point of confirmation, and generating a Microsoft Teams link where applicable.

If you're waiting for approval
If you've attempted to connect your calendar and saw the approval screen, Microsoft may have automatically sent your IT administrator a consent request they can action directly from that email.
