Approving Whenn for your Microsoft organisation

Microsoft 365 Business and Enterprise accounts require IT admin approval before connecting third-party calendar apps. This page explains what to do and what Whenn accesses.

How to request IT approval

Copy the message below and send it to your IT admin or helpdesk. It includes everything they need — what Whenn does, what data it accesses, and compliance credentials. If you've already attempted to connect your calendar through Whenn and hit a block screen, Microsoft will also have automatically sent your IT admin an approval request they can action directly.

Hi,

I'm trying to use Whenn (meetwhenn.com) to confirm a group meeting, and our organisation's Microsoft 365 settings require IT admin approval before I can connect my calendar.

What Whenn does:
Whenn is a group meeting scheduling tool. Participants connect their calendar so Whenn can read their free/busy availability — it never reads event titles, attendee details, or meeting content. When a meeting is confirmed, Whenn creates a calendar event for the meeting organiser.

Permissions requested:

— Organisers: read free/busy + create a calendar event on confirmation (Calendars.ReadWrite scope)

No event titles, attendee names, or meeting details are ever accessed or stored.

To approve Whenn for our organisation, please visit the Microsoft Entra admin centre or action the admin consent request email Microsoft may have already sent you.

Using Whenn while you wait for approval
You can still use Whenn while waiting for IT approval. On your join page, select “Pick available times manually” — you select your free slots on a simple grid and sync up with the rest of your meeting group without connecting your calendar. The meeting can still be confirmed automatically.

What Whenn is

Whenn is a group meeting scheduling tool that coordinates availability across organisations. It reads calendar free/busy data from participants, finds a time that works for everyone, and sends calendar invites automatically. It is used to schedule meetings where participants come from multiple different organisations — such as interviews, client meetings, or speaker briefings.

Permissions requested and why

Participants
Calendars.Read

Read-only access to free/busy time blocks only. Whenn never reads event titles, attendee names, meeting descriptions, locations, or any other event content.

Meeting organisers (hosts)
Calendars.ReadWrite

Read/write access. Read portion is identical to participants — free/busy only. Write access is required to create the confirmed calendar event in the organiser’s calendar, and to generate a Microsoft Teams meeting link when requested. Whenn never modifies or reads the content of existing calendar events.

Permissions are delegated — acting on behalf of the individual user who connected their account, not the organisation as a whole.

How to approve

The fastest route: if a user in your organisation has already attempted to connect to Whenn and received a “needs admin approval” screen, Microsoft will have sent you an admin consent request email — you can approve directly from that email without navigating the admin centre manually.

For step-by-step instructions, refer to Microsoft’s admin consent documentation. Once approved, all colleagues can connect their Microsoft calendar to Whenn without requiring individual approval each time.

Google Workspace

Does Google require the same approval?

Most standard Google Workspace configurations allow users to connect Whenn directly without IT admin approval — this is different from Microsoft’s default behaviour.

If your organisation has restricted third-party app access, a Google Workspace admin can approve Whenn via the Google Admin console under Security → API Controls → App Access Control.
