Why group scheduling is harder than 1:1 booking — and why that matters for the tools you use
The scheduling tools most people use were built for one specific problem — one host, one guest, one link. Group meetings across organisations are a different class of problem. Treating them the same way produces the coordination overhead that makes external meeting scheduling feel like it should be simpler than it is.
The problem booking links solve
A booking link is a good solution to a specific problem: one person wants to meet with one other person, and the guest should be able to pick a time from the host's available slots without any back-and-forth.
The host sets their availability preferences once. The guest visits a link, sees the available slots, picks one, and the meeting is booked. A calendar invite goes out to both parties. The coordination is done in a single step from the guest's perspective and zero steps from the host's — they just wait for the booking to arrive.
This is a well-solved problem. Tools like Calendly, Cal.com, and dozens of others handle it effectively. For 1:1 external meetings — a sales call, a consultation, a candidate screening — a booking link is the right tool.
What changes with a group
As soon as a third participant enters the picture, the problem changes structurally.
With two participants, finding the overlap is trivial. The host has a set of available slots. The guest picks one. There is no negotiation, no cross-referencing, no comparison of multiple parties' constraints.
With five participants across three organisations, the problem is fundamentally different. Nobody has a booking link. Nobody is picking from a single person's available slots. The organiser needs to find a time that works for every participant simultaneously — and they have visibility into none of their calendars.
The number of constraints multiplies with each participant added. Three participants in different timezones each with their own scheduling patterns produces a much smaller usable window than two. Four produces a smaller one still. Add a hard deadline — the event is in six weeks, the panel call needs to happen before then — and the available windows narrow further.
A booking link solves the one-guest case by design. It has no mechanism for the multiple-guests case because it was never built for it.
Why the group problem gets worse with external participants
Internal group meetings are schedulable through shared calendar systems. A meeting organiser within an organisation can typically see colleagues' calendars, identify free slots, and book directly without needing each person to respond to an availability request.
External group meetings across organisations remove that visibility entirely. The organiser cannot see any participant's calendar. They cannot identify free slots directly. They must request availability, wait for responses, work out the overlap themselves, and then go through the confirmation steps manually.
This is the gap most scheduling tools don't address. They assume either a single external participant — where a booking link works — or internal participants — where shared calendar access works. The specific case of multiple external participants from different organisations is treated as a variation of one of those two problems, when it is actually a third problem that requires a different approach.
What the right approach looks like
The right tool for external group scheduling reads every participant's calendar directly — not through a shared organisational system, but through individual calendar connections that each participant authorises themselves. This removes the need for a polling grid, eliminates the completion problem that polling creates, and gives the scheduling system the actual data it needs to find the optimal slot.
With every participant's free/busy information available, the system can identify the best slot across all timezones, confirm the meeting automatically, and send calendar invites to every participant without the organiser doing anything after the initial setup.
